Essex North Shore is seeking a bilingual Administrative Assistant to primarily support Admissions and other academic programming. This is a school year position, 7:30 am - 3:30 pm daily, with occasional early morning or evening coverage.

JOB DESCRIPTION

Administrative Assistant  

 

The Administrative Assistant supports the assigned department by welcoming students, staff, and visitors to the department and providing administrative support to the department.   

 

FAIR LABOR STANDARDS ACT (FLSA) CLASSIFICATION: 

This position is classified as Non-Exempt.

 

REPORTING STRUCTURE:

The Administrative Assistant reports to the Principal or their designee.  

 

QUALIFICATIONS: 

  1. High school diploma or equivalent
  2. Administrative experience in a school or office 
  3. Exceptional Customer Service Skills
  4. Ability to work as a member of a team
  5. Superior organizational skills and attention to detail
  6. Proficient in Microsoft Office including Excel, Word, PowerPoint and Google Suite; experience with databases
  7. Excellent written and verbal communication skills
  8. Ability to set priorities and self-initiate
  9. Ability to multitask and work in a fast paced environment
  10. Such alternatives to the above qualifications as the Superintendent-Director may find appropriate and in conformity with state and federal law

 

DUTIES:

  1. Provide administrative assistant support to assigned departments, including maintaining calendars, scheduling meetings, appointments, and travel arrangements, sending letters and other written and verbal communications, maintaining files, etc., as requested.
  2. Provide a safe, welcoming, efficient, and informative office for staff and students.
  3. Maintain strict confidentiality regarding students, parents, and staff.
  4. Determine priority in workload and assess the urgency of student requests or incidents that arise and handle accordingly.
  5. Assist in answering, screening and forwarding incoming calls to the appropriate personnel.
  6. Assist other clerical staff as needed.
  7. Keep the reception area tidy and presentable.
  8. Perform such other tasks and assume such other responsibilities not inconsistent with the role, as the Manager of Transportation or designee may assign.

 

PHYSICAL WORKING CONDITIONS:

This work is performed indoors, requires extended periods sitting, and extended periods in front of a computer.

 

TERMS AND CONDITIONS OF EMPLOYMENT:

  1. This is a 210 day position at 40 hours per week.
  2. This position is part of the Collective Bargaining Agreement between the American Federation of State County and Municipal Employees, Council 93, Local 245 and the School District.
